Legal Administrator Overview

  • The Legal Administrator provides critical administrative support to the Legal Department, ensuring smooth operations and effective communication.
  • Collaborate with the Chief Legal Officer and legal team to manage sensitive legal matters with confidentiality and professionalism.
  • Support a dynamic environment handling labor, intellectual property, contracts, compliance, and governance issues.
  • Engage in strategic initiatives, anticipating departmental needs and aligning priorities with organizational goals.

Legal Administrator Key Responsibilities & Duties

  • Manage calendars for legal team members, ensuring alignment with priorities and executive focus areas.
  • Handle departmental invoices, expense reports, and reconciliation tasks with accuracy and timeliness.
  • Conduct searches and manage electronic and paper files, adhering to retention policies and legal requirements.
  • Coordinate communication and act as a gateway to the legal department, fostering effective collaboration.
  • Prepare legal documents and memos, ensuring compliance with organizational standards.
  • Support the Legal Operations Manager in implementing operational improvements and strategic initiatives.
  • Maintain confidentiality and discretion in all aspects of legal and institutional matters.
  • Assist with onboarding and training new team members on department procedures and systems.

Legal Administrator Job Requirements

  • Bachelor's degree required, preferably in a related field.
  • Minimum of 5 years of experience in legal administration within law firms or corporate legal departments.
  • Proficiency in MS Office 365, Adobe PDF, and document management systems like SharePoint and OneDrive.
  • Licensed Notary or willingness to obtain certification if transitioning to permanent role.
  • Strong organizational skills and ability to manage multiple priorities effectively.
  • Excellent verbal, written, and interpersonal communication skills.
  • Experience working with diverse groups and fostering inclusive collaboration.
