Overview

  • Provide comprehensive administrative support in a hybrid role, ensuring smooth daily operations and effective communication management.
  • Coordinate events and activities, including occasional Saturday support, to ensure seamless execution and organization.
  • Manage schedules, appointments, and itineraries for leadership, optimizing time and operational efficiency.
  • Act as a liaison, handling communications and interactions with professionalism and discretion.
  • Maintain confidentiality while managing sensitive information and organizational data.
  • Utilize administrative tools and software to perform clerical tasks and streamline office operations.
  • Collaborate with team members to align administrative efforts with organizational goals and objectives.
  • Adapt to a hybrid work environment, balancing on-site and remote responsibilities effectively.

Key Responsibilities & Duties

  • Manage leadership calendars, scheduling appointments, and coordinating daily itineraries efficiently.
  • Assist in planning, organizing, and executing events, ensuring all logistical aspects are addressed.
  • Handle incoming communications, including emails and phone calls, providing timely and accurate responses.
  • Perform clerical tasks such as document preparation, filing, and data entry using administrative software.
  • Maintain strict confidentiality while managing sensitive information related to leadership and operations.
  • Support leadership during events and meetings, ensuring all necessary materials and arrangements are prepared.
  • Collaborate with staff to ensure smooth communication and coordination of activities.
  • Adapt to a hybrid work environment, balancing on-site and remote responsibilities effectively.

Job Requirements

  • High School Diploma or GED required; additional certifications in administration are advantageous.
  • Minimum of 2 years of administrative experience; 4 years preferred for optimal proficiency.
  • Proficiency in Microsoft Outlook and other administrative software tools.
  • Strong organizational skills with the ability to manage multiple tasks independently.
  • Excellent communication skills, both written and verbal, to interact professionally with stakeholders.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Flexibility to work on-site Tuesday–Thursday and remotely one day per week.
  • Availability to support occasional Saturday events as required.
