Executive Assistant Overview

  • The Executive Assistant will provide dedicated support to the Chief People Officer during a maternity leave coverage period.
  • This role involves hybrid work arrangements, requiring in-office presence Monday through Thursday and remote work on Fridays.
  • Responsibilities include managing complex calendars, scheduling meetings, and ensuring seamless coordination for domestic and occasional international travel.
  • The position offers a collaborative environment within a dynamic and energetic team.
  • Ideal candidates will have experience in HR or legal settings, with strong confidentiality and organizational skills.
  • Concur travel management experience is essential, with Salesforce proficiency and familiarity with foundation operations as a plus.

Executive Assistant Key Responsibilities & Duties

  • Provide comprehensive administrative support to the Chief People Officer, ensuring efficient daily operations.
  • Manage complex calendars, schedule meetings, and coordinate logistics for domestic and international travel.
  • Serve as a gatekeeper, handling confidential information with discretion and professionalism.
  • Utilize Concur for travel arrangements and expense management, ensuring accuracy and compliance.
  • Support team collaboration by facilitating communication and fostering a positive work environment.
  • Assist in preparing reports, presentations, and correspondence as needed.
  • Coordinate with internal and external stakeholders to ensure seamless execution of projects and initiatives.
  • Adapt to changing priorities and handle multiple tasks efficiently within tight deadlines.

Executive Assistant Job Requirements

  • Bachelor of Arts (BA) degree required, with a minimum of 3 years of relevant experience.
  • Preferred candidates will have 5 years of experience supporting executives in HR or legal settings.
  • Proficiency in Concur travel management software is mandatory, with Salesforce experience as a plus.
  • Strong organizational skills and ability to maintain confidentiality are essential.
  • Excellent communication skills, both written and verbal, to interact effectively with stakeholders.
  • Experience in foundation operations, finance, or similar fields is advantageous.
  • Ability to adapt to hybrid work arrangements and manage tasks efficiently in both remote and in-office settings.
