Job Description

State Relations Coordinator Overview

  • The State Relations Coordinator provides administrative support for state relations programs, ensuring smooth communication and efficient processes.
  • Serve as the primary contact for routine inquiries from state affiliates, addressing questions and escalating issues as needed.
  • Monitor shared inboxes to ensure timely routing and follow-up of state affiliate requests and inquiries.
  • Coordinate and maintain state affiliate records, including bylaws, leadership directories, and nonprofit status documentation.
  • Assist in organizing and supporting state relations meetings, programs, and events, both virtual and in-person.
  • Engage in annual document collection processes, ensuring compliance with State Affiliation agreements.
  • Collaborate with internal teams to update state-facing portions of the organization's website and disseminate surveys.
  • Provide feedback on process improvements to enhance state support services and operations.
  • Work closely with state leaders, association executives, and internal staff to foster effective relationships.

State Relations Coordinator Key Responsibilities & Duties

  • Assist state leaders with inquiries regarding programs, services, and established processes, ensuring accurate tracking and resolution.
  • Monitor and manage shared inboxes, routing requests and ensuring timely follow-up.
  • Provide administrative support for state relations meetings, conferences, and events, including preparation and coordination.
  • Maintain and update state affiliate records, ensuring accuracy and compliance with organizational standards.
  • Track and manage deadlines for state visits, ensuring timely submission of required information.
  • Coordinate annual document collection processes, including leadership directories and End of Year reports.
  • Support the annual Delegate Assembly through preparation, tracking, and onsite coordination.
  • Collaborate with marketing teams to update relevant website sections and disseminate surveys.
  • Provide feedback on service delivery and suggest process improvements to enhance efficiency.

State Relations Coordinator Job Requirements

  • Bachelor's degree or equivalent combination of education and experience required.
  • Minimum of 2 years of experience in administrative support or customer service roles.
  • Proficiency in Microsoft Office tools, including Teams, SharePoint, Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills for diverse audiences.
  • Experience working in association or non-profit environments preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Detail-oriented with strong problem-solving skills to identify and implement solutions.
  • Familiarity with database systems for accessing and managing member information preferred.
