Job Description

Executive Assistant Overview

  • The Executive Assistant will provide high-level administrative support to senior leaders within the organization, ensuring efficient operations and effective communication.
  • Support structure is flexible, potentially assisting the CEO or multiple members of the Investment & Asset Management Team.
  • Collaborate with internal teams and external stakeholders, including investors, vendors, and operating partners.
  • Handle confidential and time-sensitive materials with discretion and professionalism.
  • Work in a hybrid environment, with onsite presence Monday–Thursday and remote work on Fridays.

Executive Assistant Key Responsibilities & Duties

  • Coordinate and manage calendars, meetings, and video conferences, ensuring timely preparation and distribution of materials.
  • Act as a liaison between leadership and other departments, maintaining effective communication and schedule management.
  • Plan and arrange business travel, adhering to company policies and budgets, and prepare detailed itineraries.
  • Prepare and submit accurate expense reports, ensuring compliance with company standards.
  • Draft, edit, and review correspondence, reports, and presentations with a focus on accuracy and professionalism.
  • Collaborate on organizing and coordinating company events and activities, including major annual events and business dinners.
  • Provide administrative support for special projects and assist other executives and departments as needed.
  • Work closely with other Executive Assistants and operational staff to ensure seamless office functionality.

Executive Assistant Job Requirements

  • Bachelor’s degree preferred, with a minimum of two years of college education required.
  • 7–10+ years of experience supporting senior executives in a fast-paced corporate environment.
  • Strong organizational and time-management skills, with the ability to prioritize and multitask effectively.
  • Exceptional written and verbal communication skills, comfortable interacting with senior business contacts.
  • Proficiency in Microsoft Office Suite, with experience in Concur and Salesforce being advantageous.
  • Team-oriented mindset, capable of collaborating with other staff and anticipating needs proactively.
  • Experience in financial services or smaller firm environments preferred but not required.
  • Positive and polished front-office presence, with a strong work ethic and dependability.
