Patient Service Representative Overview

  • The Patient Service Representative plays a vital role in ensuring smooth clinic operations and exceptional customer service within a healthcare setting.
  • Responsible for welcoming patients and verifying enrollment documentation and insurance coverage accurately and efficiently.
  • Assists providers and patients with scheduling follow-up appointments and consultations to maintain seamless healthcare delivery.
  • Ensures the reception area is organized and welcoming, fostering a positive patient experience.
  • Supports the clinic's front office operations, including patient registration and demographic checks.
  • Documents patient information, insurance eligibility, and assists with uninsured program applications.
  • Participates in daily huddles to align with clinic goals and updates.
  • Handles co-payments, sliding scale fees, and reconciles financial transactions efficiently.
  • Commutes to various clinic locations as needed to provide support and maintain operations.

Patient Service Representative Key Responsibilities & Duties

  • Schedules patient appointments professionally and accurately, ensuring optimal clinic workflow.
  • Greets patients upon arrival, registers them, and assists with the check-in process.
  • Verifies insurance coverage and obtains necessary pre-authorizations for scheduled visits.
  • Answers phone calls, directs inquiries, and takes messages for providers during patient consultations.
  • Conducts reminder calls and outreach to reschedule appointments, ensuring patient compliance.
  • Prepares medical insurance billing forms and assists patients with sliding fee scale applications.
  • Maintains a clean and organized reception area, ensuring a welcoming environment for patients.
  • Distributes metro cards to patients during visits and reconciles issued cards daily.
  • Escalates unresolved issues to the Clinic Manager or Health Center Director for resolution.

Patient Service Representative Job Requirements

  • High School Diploma or GED required; familiarity with medical field practices preferred.
  • Minimum of 1-2 years of experience in a related role; E-Clinical Works experience is a plus.
  • Proficiency in customer service, patient registration, and insurance verification processes.
  • Ability to work evening and weekend shifts as required by clinic operations.
  • Strong organizational skills to maintain a clean and efficient reception area.
  • Effective communication skills, including Spanish-speaking proficiency preferred.
  • Capability to commute to multiple clinic locations as needed for operational support.
  • Experience with handling financial transactions and reconciliation processes.
