Job Description

Billing Assistant Overview

  • The Billing Assistant supports billing activities for the Finance and Revenue team, ensuring accurate and timely processing of billing-related tasks.
  • Collaborates with attorneys, finance personnel, and clients to maintain compliance with billing guidelines and policies.
  • Processes edits to proformas, including time descriptions and task codes, in accordance with firm policy.
  • Provides backup for billed expenses and assists with refund requests and financial documentation.
  • Monitors and responds to billing inquiries, ensuring prompt and accurate communication with stakeholders.
  • Coordinates and follows up on unbilled and unpaid inventory with partners and legal staff.
  • Documents and updates billing protocols, ensuring alignment with client and firm requirements.
  • Participates in ad hoc projects and supports the overall goals of the finance team.

Billing Assistant Key Responsibilities & Duties

  • Prepare and forward proformas to billing attorneys and process edits per instructions.
  • Assist with providing backup for billed expenses and submitting refund requests.
  • Coordinate review and follow-up on unbilled and unpaid inventory with partners.
  • Document and update billing protocols, ensuring compliance with firm policies.
  • Respond to billing inquiries and provide necessary documentation to clients’ financial teams.
  • Collaborate with the billing and collection team to achieve organizational goals.
  • Ensure compliance with client billing guidelines and firm accounting policies.
  • Support ad hoc projects and assist with various finance-related tasks as needed.

Billing Assistant Job Requirements

  • Bachelor’s degree in Accounting, Business, or a related field is recommended.
  • Minimum of 2 years of finance experience in a professional services environment preferred.
  • Proficiency in financial software and Microsoft Office Suite, including Excel and Word.
  • Strong written and verbal communication skills, with attention to detail and accuracy.
  • Ability to work independently and collaboratively within a team, meeting strict deadlines.
  • Flexibility to work overtime as necessary to meet business needs.
  • Experience with compliance to billing guidelines and financial policies is advantageous.
