Receptionist Overview

  • The Receptionist will serve as the first point of contact for clients and visitors, ensuring a professional and welcoming environment.
  • This role involves managing front desk operations, including answering calls, greeting guests, and maintaining reception areas.
  • Provide administrative support to the executive team and assist with meeting coordination and event planning.
  • Ensure the reception area and conference rooms are tidy and well-organized at all times.
  • Collaborate with various teams to support office operations and maintain a positive work environment.

Receptionist Key Responsibilities & Duties

  • Answer and manage the main phone line, screen calls, and take messages professionally.
  • Welcome and assist guests and visitors, providing beverages and ensuring a positive experience.
  • Organize and schedule conference room bookings using Outlook and maintain meeting spaces.
  • Assist with administrative tasks, including meeting setup, catering orders, and office supply management.
  • Provide backup support to executive assistants and the hospitality team as needed.
  • Coordinate travel arrangements, vendor security clearance, and event logistics occasionally.
  • Submit office repair tickets and ensure timely resolution of facility issues.
  • Maintain and update internal contact directories and assist with ad-hoc projects.

Receptionist Job Requirements

  • Bachelor’s degree required, preferably in a related field.
  • 1+ years of experience in receptionist, hospitality, or client-facing roles preferred.
  • Exceptional interpersonal and communication skills with a polished and professional demeanor.
  • Strong organizational skills and ability to manage multiple priorities effectively.
  • Proficiency in Microsoft Office applications, including Excel and Word, is a plus.
  • Ability to work in a fast-paced environment while maintaining composure and professionalism.
  • Interest in the financial services industry and working in a dynamic office setting.
  • Must be available to work on-site Monday through Friday with flexible hours.
