Payroll Specialist Overview

  • The Payroll Specialist will manage semi-monthly payroll processes for a nationwide workforce, ensuring accuracy and compliance with regulations.
  • Collaborate with the accounting team to maintain payroll records and support employee expense reporting.
  • Handle payroll-related inquiries, resolve discrepancies, and ensure timely processing of payroll taxes and deductions.
  • Assist with compliance to federal, state, and local payroll requirements, including multi-state payroll regulations.
  • Support payroll reporting, reconciliations, and contribute to special projects as needed.
  • Work in a remote environment, leveraging tools such as Paylocity and Microsoft Business Central.

Payroll Specialist Key Responsibilities & Duties

  • Process semi-monthly payroll for employees across multiple states, ensuring accuracy and timeliness.
  • Review employee hours, payroll changes, deductions, and other payroll information for accuracy.
  • Resolve payroll-related discrepancies and handle employee inquiries promptly and professionally.
  • Assist with payroll taxes, garnishments, and other required deductions.
  • Maintain accurate payroll records and ensure compliance with payroll regulations.
  • Support expense reporting and assist with payroll reconciliations and reporting.
  • Collaborate with the accounting team to ensure seamless payroll operations.
  • Participate in special projects and initiatives to improve payroll processes.

Payroll Specialist Job Requirements

  • Bachelor of Science (BS) degree in a relevant field.
  • Minimum of 1 year of hands-on payroll experience; 5 years preferred.
  • Experience with multi-state payroll and hourly/non-exempt employee populations.
  • Knowledge of California payroll laws and regulations is strongly preferred.
  • Proficiency with payroll systems such as Paylocity is a plus.
  • Ability to work independently in a remote environment with strong attention to detail.
  • Familiarity with expense reporting tools like Ramp and accounting systems like Microsoft Business Central.
  • Strong organizational skills and ability to handle confidential employee information.
