Legal Secretary Overview

  • The Legal Secretary role offers a dynamic opportunity to support attorneys and legal teams in a professional services environment.
  • Provide administrative and legal assistance to 5-6 attorneys, including the managing partner.
  • Prepare, proofread, and format legal documents, correspondence, agreements, and presentations with precision.
  • Manage attorney schedules, coordinate meetings, and organize travel arrangements effectively.
  • Handle timekeeping, billing support, and client matter administration with accuracy.
  • Maintain confidentiality while organizing sensitive files and legal information.
  • Collaborate with attorneys, clients, courts, and external parties to ensure seamless communication.
  • Assist in preparing for legal proceedings, meetings, and hearings, ensuring readiness.
  • Contribute to a supportive and efficient team environment during the temp-to-perm transition.

Legal Secretary Key Responsibilities & Duties

  • Provide comprehensive administrative support to attorneys and legal teams in a fast-paced setting.
  • Prepare, edit, and format legal documents, correspondence, and presentations accurately.
  • Manage attorney calendars, schedule meetings, and coordinate travel arrangements.
  • Handle time entry, billing support, and client matter administration tasks.
  • File legal documents electronically and maintain organized filing systems.
  • Conduct conflict checks, open new client matters, and maintain accurate records.
  • Monitor deadlines, assist with docketing, and support case management activities.
  • Organize and maintain confidential files and sensitive information securely.
  • Assist attorneys in preparing for meetings, closings, hearings, and other legal proceedings.

Legal Secretary Job Requirements

  • Bachelor of Arts (BA) degree required, with a focus on legal or administrative studies preferred.
  • Minimum of 4 years of experience as a Legal Secretary or similar role; 7 years preferred.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
  • Strong knowledge of legal terminology, document preparation, and law firm procedures.
  • Experience with electronic court filing systems and legal technology platforms preferred.
  • Exceptional organizational skills and attention to detail in managing multiple assignments.
  • Excellent written and verbal communication skills with a professional demeanor.
  • Ability to handle confidential information with discretion and professionalism.
  • Legal secretarial certification or advanced degree in legal studies preferred.
