Senior Paralegal Services Coordinator Overview

  • The Senior Paralegal Services Coordinator will oversee staffing and resource management across multiple practice areas to enhance operational efficiency and team utilization.
  • This role involves managing talent acquisition processes, including sourcing, recruiting, and onboarding paralegal candidates to support the firm's strategic goals.
  • Coordinate training programs, orientations, and mentoring initiatives to foster professional development and retention within the paralegal team.
  • Track and ensure compliance with weekly time entries, supporting accurate reporting and adherence to firm policies.
  • Assist with review processes by compiling evaluations and feedback to support performance management and development.
  • Collaborate with various departments to ensure seamless operations, including IT, Payroll, Finance, HR, and Office Administrators.
  • Coordinate logistics for trials, meetings, and trainings, including conference room setups and audiovisual requirements.
  • Support weekend and holiday on-call coverage programs to maintain operational readiness and client service standards.
  • Contribute to the firm's commitment to excellence by ensuring high-quality service delivery and operational effectiveness.

Senior Paralegal Services Coordinator Key Responsibilities & Duties

  • Manage staffing and resource allocation across corporate, labor, and litigation practice areas to improve utilization and efficiency.
  • Administer talent acquisition processes, including sourcing, recruiting, and onboarding of entry-level and experienced paralegal candidates.
  • Coordinate training schedules, travel arrangements, and speaker engagements for annual Project Assistant orientation programs.
  • Track weekly paralegal time entries to ensure compliance and timeliness in reporting.
  • Assist with mentoring programs and review processes, compiling evaluations and feedback for performance management.
  • Schedule and oversee firmwide weekend and holiday on-call coverage programs across departments.
  • Coordinate logistics for trials, including war room setups, consultant arrangements, and supply management.
  • Collaborate with IT, Payroll, Finance, HR, and Operations to align departmental requirements with organizational standards.
  • Ensure seamless execution of department meetings, interviews, and training sessions through effective planning and coordination.

Senior Paralegal Services Coordinator Job Requirements

  • Bachelor’s degree required, preferably in a related field, with a minimum of 3 years of relevant experience.
  • Proficiency in Microsoft Word, Excel, and PowerPoint, with the ability to learn new software and applications.
  • Strong organizational and time management skills to prioritize tasks effectively and meet deadlines.
  • Excellent written and verbal communication skills to interact professionally with diverse stakeholders.
  • Ability to work independently while knowing when to seek consultation for complex issues.
