Job Description

Production Assistant Overview

  • The Production Assistant is responsible for supporting production operations and ensuring the accurate preparation of exhibits and transcripts.
  • This role involves scanning, printing, and assembling documents while adhering to quality standards and productivity goals.
  • Collaborate with team members to meet deadlines and maintain operational efficiency in a fast-paced environment.
  • Operate and maintain production equipment, including scanners, copiers, and bindery tools.
  • Ensure compliance with confidentiality and HIPAA regulations when handling sensitive documents.
  • Assist in training new employees and contribute to cross-functional team efforts.
  • Maintain organized production areas and ensure supplies are fully stocked for seamless operations.
  • Support the preparation and shipment of materials to affiliates, ensuring timely and accurate delivery.
  • Contribute to a collaborative and respectful work environment aligned with organizational values.

Production Assistant Key Responsibilities & Duties

  • Verify job instructions for accuracy, including job numbers, exhibits, and special instructions.
  • Duplicate and archive CDs, DVDs, and USBs received as exhibits, ensuring proper documentation.
  • Scan, upload, and organize exhibits and job-related documents in the company database.
  • Prepare and package jobs for shipment, coordinating with shipping vendors for timely delivery.
  • Operate production equipment and ensure its maintenance for optimal performance.
  • Perform data entry tasks to record completed production steps accurately.
  • Assist in organizing the production area and maintaining inventory of supplies.
  • Support compliance with confidentiality and HIPAA regulations in document handling.
  • Contribute to team efforts by assisting in training and cross-functional activities.

Production Assistant Job Requirements

  • Associate of Arts (AA) degree or equivalent educational background required.
  • Minimum of 2 years of experience in administrative or legal support roles.
  • Proficiency in general computer applications, including Outlook, Word, and Adobe Acrobat.
  • Strong attention to detail, organizational skills, and ability to multitask effectively.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Familiarity with subpoenas, depositions, and affidavits is advantageous.
  • Understanding of record tabbing, organization, and charting is a plus.
  • Flexibility to work occasional overtime and meet deadlines under pressure.
