Job Description


Our client, a real estate investment firm in Hudson County, New Jersey, is seeking an Executive Administrative Assistant. 


• Skillfully prepares and edits various documents such as correspondence, presentations, and emails accurately and ensures timely distribution.

• Manages all tasks related to the Executive's workflow and scheduling to maintain smooth operations.

• Serves as the primary point of contact for the Executive's office, representing it in a professional and sophisticated manner.

• Ensures all reports are accurately prepared and submitted by agreed-upon deadlines, including expense reports and PowerPoint presentations.

• Handles the scheduling of the Executive's appointments, travel arrangements, and lodging, ensuring meetings are scheduled within designated timeframes.

• Engages in extensive calendar planning, proactively managing daily, quarterly, and annual meetings and trips to maximize efficiency.

• Manages extensive travel logistics and provides reminders for follow-up items post-meetings or trips.

• Plans and schedules executive events, outings, and Board of Directors dinners.

• Actively maintains electronic files, integrates events with calendars, and provides research support for conferences and meetings.

• Monitors, screens, responds to, and distributes incoming communications in a professional manner, ensuring timely follow-up on important items.

• Manages all necessary paperwork filing and ensures the timely distribution of approved meeting agendas.

• Coordinates equipment and presentation materials for meetings as required.


Bachelor's degree preferred. 5-7 years of relevant work experience
