Legal Administrative Assistant Overview

  • The Legal Administrative Assistant will provide comprehensive support to the Legal Department, ensuring efficient operations and seamless communication.
  • Collaborate with legal professionals to manage schedules, appointments, and correspondence, maintaining confidentiality and professionalism.
  • Assist in preparing, formatting, and proofreading legal documents, ensuring accuracy and adherence to deadlines.
  • Coordinate travel arrangements, expense reports, and meeting logistics for the Legal Department.
  • Maintain organized filing systems for contracts and legal correspondence, ensuring accessibility and security.
  • Act as a liaison between internal teams and external counsel, facilitating communication and tracking deliverables.
  • Support compliance initiatives by tracking deadlines and preparing status reports.
  • Contribute to the overall efficiency of the Legal Department by managing multiple priorities effectively.

Legal Administrative Assistant Key Responsibilities & Duties

  • Manage schedules, appointments, and correspondence for the Legal Department, ensuring timely responses and organization.
  • Coordinate travel arrangements, including airfare, accommodations, and car rentals, maintaining detailed itineraries.
  • Prepare, format, and proofread legal documents and correspondence with high attention to detail.
  • Maintain filing systems for legal documents, contracts, and correspondence, ensuring accessibility and security.
  • Assist in tracking compliance-related initiatives and deadlines, preparing status reports as needed.
  • Coordinate with external counsel and internal teams to ensure deliverables and deadlines are met.
  • Support meeting preparations, including recording minutes and organizing materials.
  • Handle expense reports and invoices, ensuring accuracy and timely submission.

Legal Administrative Assistant Job Requirements

  • Associate of Arts (AA) degree required; Bachelor’s degree or Secretarial Certification preferred.
  • Minimum of 4 years of experience in administrative support, preferably in a legal or corporate environment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Exceptional organizational skills with the ability to manage multiple priorities effectively.
  • Strong verbal and written communication skills, ensuring clarity and professionalism.
  • Ability to maintain confidentiality and uphold a high level of trustworthiness.
