Personal Assistant Overview

  • The Personal Assistant will provide hands-on support for household, personal, and family-related needs, ensuring seamless organization and efficiency.
  • This role involves assisting with errands, logistics, and recurring responsibilities, maintaining a busy household's organization.
  • Collaborate closely with the family's Executive Assistant to ensure smooth communication and coordination of tasks.
  • Flexibility is required to accommodate ad hoc requests and additional hours surrounding family travel.
  • The role demands exceptional organizational skills and familiarity with navigating New York City efficiently.
  • Confidentiality and discretion are paramount, given the handling of sensitive personal and financial information.
  • This is an on-site position with approximately 8–12 hours per week, spread across 2–3 nonconsecutive weekdays.

Personal Assistant Key Responsibilities & Duties

  • Manage household and personal errands throughout New York City, ensuring timely and accurate completion.
  • Assist with administrative tasks such as insurance, taxes, receipts, and healthcare submissions.
  • Maintain organized records and assist with financial tracking and expense reporting.
  • Coordinate travel details and maintain shared travel information, including frequent flyer numbers and travel credits.
  • Research and coordinate activities, services, and reservations based on family needs.
  • Provide updates and communicate consistently with the family's Executive Assistant.
  • Handle errands from sourcing items to delivery, ensuring quality and timeliness.
  • Assist with ad hoc projects and maintain discretion with confidential information.

Personal Assistant Job Requirements

  • Bachelor of Arts (BA) degree required, with a preference for candidates with mid-level experience.
  • Minimum of 3 years of relevant experience in personal assistance or related roles.
  • Exceptional organizational and multitasking skills, with a proactive approach to task management.
  • Strong communication skills to ensure seamless collaboration with the Executive Assistant and family.
  • Familiarity with New York City and ability to navigate efficiently for errands and logistics.
  • Ability to handle confidential information with discretion and professionalism.
