Job Description

Part-time Receptionist Overview

  • The Part-time Receptionist will serve as the welcoming face of the office, ensuring smooth daily operations and a professional environment.
  • Work on-site Monday, Wednesday, and Thursday, from 8 am to 4 pm, supporting office management and administrative tasks.
  • Contribute to maintaining the office's cleanliness, organization, and readiness for employees and guests.
  • Provide exceptional customer service by greeting visitors, answering calls, and organizing refreshments for guests.
  • Assist in managing office supplies inventory, placing orders, and ensuring availability of essential items.
  • Support the coordination of travel and conference events through maintaining the global office calendar.
  • Collaborate with the US Office Manager to organize engaging in-house events for employees.
  • Handle ad hoc administrative support tasks for North American offices, including document filing and organization.
  • Opportunity to transition to full-time employment after six months based on performance and organizational needs.

Part-time Receptionist Key Responsibilities & Duties

  • Welcome employees and guests, ensuring a positive and professional first impression.
  • Maintain cleanliness and organization of common areas, meeting rooms, and kitchen spaces.
  • Manage physical mail distribution, including scanning and storing items for various teams.
  • Answer reception phone calls and coordinate visitor access and security passes.
  • Maintain office supplies inventory, placing orders as necessary to ensure availability.
  • Assist in organizing shared drives and ensuring all documents are correctly filed and updated.
  • Support the management of corporate apartment reservations and cleaning schedules.
  • Collaborate with teams in Chicago and Toronto offices to ensure smooth operations.
  • Help organize and execute engaging in-house events to foster a positive work environment.

Part-time Receptionist Job Requirements

  • Bachelor of Arts (BA) degree required, with a focus on administrative or related fields preferred.
