Job Description

Duties and Responsibilities:

  • Lead the coordination and management of all event planning activities, including vendor negotiation, venue selection, and contract management.
  • Supervise a team of event planners and support staff, providing guidance and oversight on event-related tasks.
  • Establish and maintain professional relationships with clients, vendors, and industry peers to stay informed on the latest event trends and technologies.
  • Develop and manage comprehensive project timelines and deliverable schedules, ensuring all milestones are met within budget constraints.
  • Conduct regular planning and strategy sessions with clients to define event goals, discuss logistics, and align expectations.
  • Oversee the creation and management of event websites, registration processes, and virtual platforms.
  • Manage on-site event execution, providing leadership and direction to ensure a seamless attendee experience.
  • Prepare detailed reports on event outcomes, budget reconciliations, and attendee feedback to guide future event strategies.

Required Qualifications:

  • Bachelor’s degree in Event Management, Hospitality, Business Administration, or related field.
  • Minimum of 8 years’ experience in event planning, with at least 5 years in a management role, preferably managing large-scale and high-profile events.
  • Proven track record of managing events for federal clients and familiarity with Federal Travel Regulations.
  • Expertise in using major event management and registration platforms such as Cvent, Eventbrite, or similar.
  • Exceptional organizational skills and the ability to manage multiple projects simultaneously under tight deadlines.
  • Excellent communication and interpersonal skills, capable of working effectively with teams, clients, and stakeholders at all levels.
  • Strong analytical and problem-solving skills with a meticulous attention to detail.
