Job Description

Responsibilities:

  • Maintain and coordinate the calendar/schedule for the program teams and the Vice President, ensuring all internal and external commitments are met.
  • Facilitate the logistics of meetings and events, including room bookings, material preparation, travel arrangements, and technical setup.
  • Manage travel security protocols and assist with the coordination of consultant/vendor contracts, invoice processing, and expense reporting.
  • Develop materials for program education initiatives and assist with data and information management tasks, ensuring accuracy and integrity.
  • Maintain updated contact lists for grantees, stakeholders, and assist in the organization of electronic documents.
  • Support team workflow by monitoring organizational deadlines and deliverables, utilizing project management tools like Asana and Box.
  • Participate in meetings, providing note-taking support, and ensuring communications and documents are well-organized and proofread for distribution.
  • Provide general support across the team, including recognition efforts, team events, and administrative backup to other staff.

Qualifications:

  • Minimum of four years' experience in an administrative role supporting multiple staff members with various priorities.
  • Strong proficiency in MS Office applications and familiarity with project management and productivity tools such as Asana and Box.
  • Excellent written and verbal communication skills, coupled with superb editing and proofreading abilities.
  • Demonstrated organizational skills with the ability to manage competing priorities and deadlines effectively.
  • Proactive, resourceful, and able to work both independently and as part of a team.
  • A commitment to social justice, racial, and gender equity, and an ongoing willingness to engage in learning related to diversity and inclusion.
  • Spanish language proficiency is beneficial but not required.
