Job Description

Responsibilities:

  • Act as the initial point of contact for all tenant-related operational inquiries, including maintenance, utilities, waste management, and parking, ensuring prompt and effective responses.
  • Oversee activities of third-party service providers such as security, landscaping, janitorial, and other maintenance functions, ensuring adherence to service standards.
  • Conduct regular property inspections alongside Property Managers, assess reports from security, and manage maintenance resolutions with vendors and tenants.
  • Update and maintain tenant communication logs, monitor adherence to specific lease obligations, and manage insurance documentation for tenants and contractors.
  • Handle invoice coding, perform budget compliance checks, and manage vendor setup processes.
  • Support the development of annual operating budgets for properties, engage in monthly financial reviews, and assist in managing accounts receivables and sales reporting.
  • Provide administrative support to the property operations team, managing schedules, correspondence, and logistical arrangements for meetings.
  • Contribute to property event planning and execution.
  • Undertake additional projects and responsibilities as needed.

Qualifications:

  • A minimum of two years in a role such as Assistant Property Manager or similar capacity within commercial real estate, with direct involvement in property operations.
  • Bachelor's degree from an accredited institution.
  • Demonstrated ability to work independently and efficiently, managing multiple tasks and maintaining sharp attention to detail.
  • Strong problem-solving skills with a creative approach to handling tenant needs and operational challenges.
  • Excellent communication and interpersonal skills, capable of effectively managing tenant and vendor relationships.
  • Proven track record in delivering high-quality customer service and resolving conflicts adeptly.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel) and open to learning new software as required.
  • Bilingual proficiency in English and Spanish is highly advantageous.
