Job Description
Responsibilities:
- Serve as the first point of contact for the office, receiving guests and responding to inquiries and correspondence.
- Orient new employees and guests to the office, including building and suite entry requirements and workspace reservation systems.
- Manage local logistics for visitor travel, including transportation and hotel arrangements.
- Organize and support office events and maintain office records and spaces.
- Liaise with building property management and coordinate with headquarters departments to ensure compliance with administrative and IT policies.
- Oversee inventory, office supplies, and equipment, and assist with office relocations and logistics.
- Assist with Donor Events
- Reports to: GREWS Senior Manager
- Internal: Global Real Estate and Workplace Solutions staff, various IRC departments including Finance, IT, and HR.
- External: Suppliers, vendors, NGOs, U.S. government agencies.
Requirements:
- Education: Bachelor’s degree or equivalent professional experience.
- Experience: 1-2 years in an administrative role within a fast-paced environment, managing office logistics, and scheduling events.
- Skills: Excellent organizational, time management, and communication skills. Proven ability to handle confidential information and multitask effectively. Proficiency in Microsoft Office and web-based applications.
- Characteristics: Resourceful, flexible, detail-oriented, and capable of working independently or as part of a team.
