Job Description

Responsibilities:

  • Program Coordination:
    • Develop and disseminate various communication materials including reports, summaries, fact sheets, and meeting materials.
    • Document and attend scientific meetings, capturing essential details and action items.
    • Collaborate with internal and external stakeholders to ensure project success and consistent program execution.
    • Analyze client needs and deliver tailored solutions across all programmatic activities.
    • Foster and maintain relationships to support program stability and potential expansion.
    • Propose and implement process enhancements to streamline operations and improve service delivery.
    • Monitor project budgets, manage expenditures, and liaise with financial teams for accurate reporting.
    • Prepare detailed progress reports and conduct industry research to anticipate shifts impacting service delivery.
  • Logistics Coordination:
    • Coordinate comprehensive logistics for various events including venue selection, registration, and vendor management.
    • Ensure compliance with Federal Travel Regulations and other government requirements for event planning.
    • Manage virtual and in-person support for events, ensuring high-quality participant experiences.
    • Oversee post-event activities including feedback collection and financial reconciliations.

Required Qualifications:

  • Bachelor’s degree in a relevant field.
  • Minimum of 6 years’ experience in program coordination, preferably within a federal or scientific research context.
  • Deep knowledge of Federal Travel Regulations and compliance requirements for federal programs.
  • Exceptional communication skills, capable of engaging effectively with diverse stakeholder groups.
  • Proficiency in MS Office, SharePoint, and Adobe; familiarity with project management software.
  • Ability to handle multiple tasks simultaneously under tight deadlines.

Preferred Qualifications:

  • Professional certifications such as CMP, CGMP, or PMP.
  • Experience with international event coordination and travel logistics.
  • Experience in using virtual meeting platforms and registration systems.
