Job Description

Title: Office Manager

Key Responsibilities

Office Management:

  • Maintain and update document tracking on the Status Chart.
  • Prepare and track leasing commission invoices and verify agent payments.
  • Manage and update the tenant renewal chart annually.
  • Download and organize monthly financial reports for company records.
  • Set up and maintain yearly Asset Management Fee (AMF) charts.
  • Process AMF deposits, budget reports, and disbursement checks in QuickBooks.
  • Prepare quarterly budget reports for senior leadership.
  • Deposit property and personal checks, manage invoice payments, and coordinate tax-related documentation with property managers.
  • Compile reports for lenders and stakeholders as needed.

Legal & Lease Administration:

  • Draft leases, amendments, assignments, and other legal documents.
  • Process executed lease agreements, update records, and distribute copies to stakeholders.
  • Maintain exclusive listings and tenant documentation.
  • Negotiate lease renewals with tenants and assist in reviewing leasing documents.
  • Address tenant inquiries and lease-related issues.

Qualifications & Skills

  • 5+ years of office management experience, preferably in commercial real estate or legal settings.
  • Strong organizational and administrative skills, with the ability to handle financial and legal documentation.
  • Proficiency in QuickBooks and Microsoft Office Suite.
  • Experience with leasing agreements, legal documentation, or commercial real estate operations is a plus.
  • Strong communication and negotiation skills for interacting with tenants and external stakeholders.
  • High attention to detail and accuracy in financial record-keeping.
