Job Description

Title: Senior Executive Assistant

Key Responsibilities:

  • Manage complex calendars and shifting schedules for senior executives, acting as gatekeeper and coordinating high-stakes meetings
  • Arrange and adjust domestic and international travel plans, including flights, ground transport, and accommodations
  • Prepare detailed itineraries, agendas, and materials for meetings, board sessions, and internal briefings
  • Oversee two direct reports (an EA and a receptionist), including workflow oversight, performance feedback, and alignment with executive needs
  • Monitor task progress across the admin team and ensure requests are handled with accuracy and urgency
  • Handle confidential correspondence, internal communications, and sensitive document coordination
  • Prepare expenses, manage logistics for in-person meetings, and ensure smooth day-to-day operations
  • Build strong rapport across departments and anticipate needs proactively
  • Maintain contact databases and assist in light document preparation when needed
  • Occasionally support special projects or coordination efforts across leadership

Ideal Profile:

  • Minimum 10 years of experience in executive support, with at least 3 years supporting senior leadership at the C-level
  • Proven experience supervising administrative staff in a professional setting
  • Background in financial services or investment firms required; must be comfortable in a discreet, fast-paced office environment
  • Excellent organizational skills and a high degree of professionalism
  • Not easily overwhelmed; able to juggle multiple requests with composure and follow-through
  • Advanced proficiency in Microsoft Office; experience with expense reporting and booking logistics without travel agency support
  • Bachelor’s degree preferred; strong professional maturity and executive presence required
