Job Description

Title: Administrative Assistant (CEO Office)

Key Responsibilities:

  • Coordinate and maintain calendars for executive leaders, including internal and external meetings, board prep, and confidential engagements
  • Arrange and manage domestic and international travel, including detailed itineraries and expense reporting
  • Provide logistical support for internal and external events, including monthly evening functions and quarterly weekend activities
  • Draft, format, and prepare professional correspondence, internal memos, reports, and presentation materials
  • Answer and route phone calls, manage high-volume inboxes, and assist with follow-up communications
  • Liaise with senior executives and executive support staff across departments to ensure alignment and smooth communication
  • Organize documents, maintain filing systems, and support day-to-day administrative tasks as needed
  • Track executive commitments and follow through to ensure deadlines and deliverables are met
  • Support special projects or confidential initiatives led by the Office of the CEO

Qualifications:

  • Minimum of 6 years’ experience supporting senior or executive leadership within a corporate environment
  • Proficient in Microsoft Office Suite, especially Excel (including spreadsheet creation and data tracking), Word, and PowerPoint
  • Demonstrated ability to manage multiple priorities with discretion and sound judgment
  • Strong written and verbal communication skills, including professional phone etiquette and email composition
  • Highly organized with strong attention to detail and follow-through
  • Must be poised, presentable, and comfortable representing senior leadership
  • Bachelor's degree strongly preferred; experience supporting well-known global companies may be considered in lieu
