Job Description
Provide high-level administrative support with precision, professionalism, and attention to detail. Act as a key liaison and representative of the team, managing competing priorities while maintaining strong relationships across internal and external stakeholders.
With minimal supervision, your responsibilities will include:
- Managing complex calendars across multiple time zones, anticipating scheduling conflicts and handling last-minute changes with efficiency.
- Coordinating meeting logistics such as room bookings, virtual access, catering arrangements, and preparation of materials.
- Planning and booking detailed domestic and international travel itineraries including flights, accommodation, and ground transport.
- Processing and tracking expense reports and travel claims in accordance with GIC policy.
- Maintaining accurate and up-to-date contact lists and managing data entry.
- Drafting, formatting, and proofreading correspondence, presentations, and other professional documents.
- Developing and implementing administrative procedures to enhance team productivity and workflow.
- Organizing team events or welfare activities including sourcing vendors, negotiating contracts, and managing logistics.
- Supporting colleagues with onboarding and training related to internal systems such as Concur, FCM, MyAccess, and Zoom.
Additional responsibilities may include:
- Coordinating high-level visits and travel logistics for GIC senior leadership, global executives, and dignitaries.
- Assisting with recruitment efforts, including interview scheduling and logistics for candidate assessments.
