Overview

  • Join a dynamic construction team as an Administrative Assistant, supporting field operations and ensuring seamless administrative processes.
  • Work onsite at a new construction project site in Washington, DC, contributing to its success.
  • Engage in a collaborative team environment, assisting with documentation, reporting, and communication tasks.
  • Opportunity to transition from a temporary to permanent role based on performance.
  • Leverage your organizational skills and construction knowledge to enhance project workflows.
  • Work hours are 7:30 AM – 4:30 PM or 8:00 AM – 5:00 PM, providing a consistent schedule.
  • Utilize your expertise in administrative tasks to support field teams and subcontractors effectively.

Key Responsibilities & Duties

  • Maintain and organize project documentation, including reports, safety logs, RFIs, and meeting minutes.
  • Collect and verify field employee timesheets, assisting with payroll submissions and resolving discrepancies.
  • Support procurement activities, tracking deliveries, and maintaining inventory records for tools and supplies.
  • Coordinate subcontractor onboarding, compliance tracking, and communication to ensure smooth operations.
  • Assist with site logistics, including delivery coordination, visitor logs, and access control management.
  • Ensure documentation aligns with company safety protocols and regulatory requirements.
  • Generate and distribute daily field reports, progress updates, and other project-related documentation.
  • Utilize project management software and Microsoft Office Suite for efficient administrative tasks.

Job Requirements

  • Bachelor of Arts (BA) degree required; entry-level position with growth potential.
  • Minimum of 2 years of administrative experience, preferably in construction or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with construction management software preferred.
  • Strong organizational and multitasking skills to manage diverse administrative tasks effectively.
  • Excellent written and verbal communication skills for clear and professional interactions.
  • Ability to work independently and collaboratively in a field environment.
  • Familiarity with construction terminology and workflows is preferred but not mandatory.
  • Reliable transportation options, including car or public transit, to access the site.
