Job Description

Overview

  • Serve as a Legal Secretary supporting legal professionals in administrative and clerical tasks.
  • Prepare legal documents, correspondence, and agreements from drafts or dictated text.
  • Assist in research and locating legal materials in files and databases.
  • Manage calendars, review emails, and ensure timely meeting deadlines.
  • Coordinate meetings both in-person and virtually using platforms like Teams and Zoom.
  • Perform clerical duties including scanning, copying, scheduling, and correspondence management.
  • File correspondence and legal documents in office and document management systems.
  • Support attorneys with diary management and email routing for time-sensitive tasks.

Key Responsibilities & Duties

  • Prepare and finalize legal documents, agreements, and correspondence with accuracy.
  • Conduct research and locate legal materials in files and databases.
  • Manage schedules, emails, and deadlines for legal professionals.
  • Coordinate and facilitate meetings using virtual platforms.
  • Perform clerical tasks including scanning, copying, and scheduling appointments.
  • File and organize legal documents in both physical and digital systems.
  • Compose and type routine correspondence and manage incoming mail.
  • Support attorneys with diary entries and task follow-ups.

Job Requirements

  • Bachelor’s degree in relevant field or equivalent combination of education and experience.
  • Minimum of 3 years of experience as a Legal Secretary; 5 years preferred.
  • Proficiency in Microsoft Office Suite and document management systems.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage schedules, deadlines, and coordinate meetings effectively.
  • Experience in preparing legal documents and correspondence accurately.
  • Adaptability to hybrid work arrangements and familiarity with virtual meeting platforms.
