Job Description

Overview

  • Provide comprehensive administrative and secretarial support to attorneys in a fast-paced legal environment.
  • Handle confidential legal documents with professionalism and discretion.
  • Manage attorney calendars, schedule meetings, and coordinate travel arrangements efficiently.
  • Prepare, format, proofread, and finalize legal documents and correspondence accurately.
  • Maintain and organize physical and electronic case files using document management systems.
  • Perform general administrative tasks including scanning, photocopying, faxing, and filing.
  • Liaise professionally with clients and legal professionals to ensure smooth communication.
  • Assist with time entry, expense reporting, and billing processes as required.
  • Adapt to evolving technology and office systems to enhance efficiency.

Key Responsibilities & Duties

  • Prepare, format, and proofread legal documents and correspondence accurately from dictation and drafts.
  • Take and transcribe dictation efficiently, ensuring accuracy and attention to detail.
  • Manage attorney schedules, coordinate meetings, and arrange travel plans effectively.
  • Maintain and organize case files, both physical and electronic, ensuring accessibility.
  • Handle time entry, expense reporting, and billing assistance with precision.
  • Liaise with clients and legal professionals, maintaining professionalism and confidentiality.
  • Sort and distribute incoming correspondence; prepare outgoing mail and packages.
  • Perform general administrative tasks including scanning, photocopying, and filing.
  • Ensure confidentiality and discretion in handling sensitive information.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum 5 years of experience as a legal secretary or administrative assistant in a legal setting.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • Experience with NetDocuments and BigHand preferred.
  • Skilled in transcription and taking accurate dictation.
  • Strong organizational and time-management abilities to handle multiple tasks effectively.
  • Familiarity with legal terminology, court procedures, and e-filing systems preferred.
  • Ability to work independently and collaboratively in a hybrid work environment.
  • High degree of discretion and professionalism in handling sensitive information.
