Job Description

Overview

  • Manage daily office operations to ensure efficiency and productivity in a collaborative environment.
  • Oversee facilities management, including security, maintenance, and space planning across all locations.
  • Coordinate equipment management, ensuring smooth operation and maintenance of office appliances and systems.
  • Supervise supply management, monitoring inventory and budgeting for office, kitchen, and printer supplies.
  • Facilitate employee onboarding and offboarding processes, ensuring seamless transitions.
  • Support event planning and execution, including equipment needs and logistics for firmwide meetings.
  • Provide general administrative support, assisting with license renewals, calendar management, and contact updates.
  • Collaborate with leadership to support long-term growth and strategic initiatives.

Key Responsibilities & Duties

  • Ensure smooth operations of facilities, including security, maintenance, and space planning.
  • Manage equipment budgets and oversee maintenance contracts for office appliances and systems.
  • Monitor and order office supplies, maintaining inventory and budget control.
  • Communicate office updates, closures, and equipment statuses to employees effectively.
  • Participate in onboarding and offboarding processes, ensuring smooth transitions for employees.
  • Contribute to event planning and execution, including logistics and equipment management.
  • Assist with administrative tasks such as license renewals and calendar management.
  • Supervise and evaluate administrative staff, providing constructive feedback and support.

Job Requirements

  • Bachelor’s degree in business administration or related field required.
  • Minimum of 5 years of administrative or office management experience, preferably with staff oversight.
  • Proficiency in Microsoft Office 365 suite and related platforms.
  • Certified Administrative Professional (CAP) or Certified Manager (CM) certification preferred.
  • Strong organizational, communication, and problem-solving skills essential.
  • Experience in vendor management, budget oversight, and staff supervision.
  • Ability to work independently and manage operations with minimal oversight.
  • Demonstrated ability to adapt to shifting priorities and maintain professionalism.
