Overview

  • Provide high-level executive support to the founder, ensuring seamless operations and effective communication.
  • Manage complex schedules, travel arrangements, and confidential correspondence with precision and professionalism.
  • Coordinate meetings, prepare agendas, and create impactful presentations for executive-level discussions.
  • Act as a trusted liaison between the founder and internal/external stakeholders, fostering strong relationships.
  • Organize and oversee special projects, ensuring timely execution and alignment with strategic goals.
  • Maintain organized records and documentation, ensuring easy access and retrieval.
  • Support the founder's priorities by proactively managing tasks and deadlines.
  • Enhance operational efficiency through innovative solutions and proactive problem-solving.

Key Responsibilities & Duties

  • Coordinate and optimize the founder's calendar, ensuring efficient time management and prioritization.
  • Arrange comprehensive travel plans, including flights, accommodations, and itineraries.
  • Prepare detailed agendas, briefing materials, and reports for meetings and events.
  • Draft and edit professional correspondence, presentations, and documents with accuracy.
  • Facilitate effective communication between the founder and executives, staff, and external contacts.
  • Monitor and manage incoming inquiries, prioritizing and responding promptly.
  • Support strategic initiatives and oversee the execution of special projects.
  • Maintain meticulous records and documentation for operational efficiency.

Job Requirements

  • Bachelor of Arts (BA) degree or equivalent educational background required.
  • Minimum of 7 years of experience as an executive assistant, with 15 years preferred.
  • Proven expertise in managing complex schedules and travel arrangements.
  • Exceptional organizational and multitasking skills with acute attention to detail.
  • Strong written and verbal communication skills for professional correspondence.
  • Experience handling confidential information with discretion and professionalism.
  • Proficiency in office software and tools for document preparation and scheduling.
