Overview

  • The Senior Payroll Specialist ensures accurate and compliant payroll operations for a workforce across the U.S. and Canada.
  • Manage multi-state payroll processes using Workday, addressing complex payroll scenarios effectively.
  • Collaborate cross-functionally with HR, Benefits, and Accounting teams to resolve discrepancies and enhance workflows.
  • Maintain SOX-compliant controls and prepare audit evidence for internal and external audits.
  • Support payroll-related audits, workers' compensation reporting, and tax compliance requirements.
  • Document and test Workday updates, identifying opportunities to streamline payroll processes.
  • Provide leadership and oversight for payroll staff, ensuring quality and accuracy in operations.
  • Contribute to innovative solutions by leveraging technology and AI tools.

Key Responsibilities & Duties

  • Run biweekly and off-cycle payrolls in Workday, managing retro pay, bonuses, and garnishments.
  • Audit costing allocations, EIB loads, time/pay inputs, and funding reports.
  • Address employee payroll, time, and absence queries effectively.
  • Lead W-2/W-2C reconciliation and year-end payroll activities.
  • Maintain accurate payroll documentation and prepare audit evidence.
  • Partner with HRIS to improve payroll workflows and system functionality.
  • Review and respond to ADP SmartCompliance notices and reconcile payroll tax filings.
  • Test Workday updates and maintain job aids, procedures, and reference guides.

Job Requirements

  • Bachelor's degree in a relevant field and 7+ years of multi-state payroll experience.
  • Proficiency in Workday Payroll and ADP SmartCompliance, with strong Excel skills.
  • Experience with payroll audits, reconciliations, and tax compliance.
  • Supervisory experience and FPC or CPP certification preferred.
  • Clear communication skills and attention to detail.
  • Technology-forward mindset with curiosity for innovative solutions.
