Job Description

Overview

  • Manage day-to-day operations of a dynamic office environment, ensuring functionality and employee satisfaction.
  • Coordinate facilities management, vendor relationships, and compliance with health and safety standards.
  • Plan and execute team events, celebrations, and initiatives to foster community and culture.
  • Collaborate with international stakeholders to align office operations with global standards.
  • Maintain office supplies, manage budgets, and oversee procurement processes.
  • Support onboarding processes for new hires, ensuring a seamless transition.
  • Ensure a professional and welcoming environment for visitors and employees.
  • Operate autonomously, managing priorities and communicating effectively across time zones.

Key Responsibilities & Duties

  • Serve as the primary contact for building management and maintenance requests.
  • Coordinate office supply procurement, snack programs, and weekly lunch arrangements.
  • Track and manage office budgets, receipts, and invoices.
  • Plan and execute internal events, team activities, and cultural initiatives.
  • Ensure compliance with health and safety regulations and serve as the safety point of contact.
  • Manage mail, packages, and deliveries efficiently.
  • Collaborate with global teams to align office operations and priorities.
  • Communicate proactively, addressing issues with solutions and recommendations.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum of 2 years experience in office management or facilities coordination.
  • Strong organizational skills and ability to manage multiple priorities.
  • Professional communication skills, adaptable to diverse audiences.
  • Comfortable working autonomously with remote management.
  • Familiarity with Google Workspace, Slack, and Dynamics preferred.
  • Experience in multinational or cross-cultural environments is a plus.
  • Conversational French and knowledge of NYC vendor ecosystems are advantageous.
