- Collaborate with the CEO and Senior Leadership Team to maintain organizational clarity and operational efficiency.
- Utilize AI tools to manage workflows, enhance decision-making, and streamline processes.
- Serve as the backbone for leadership initiatives, ensuring alignment and progress across teams.
- Drive continuous improvement in operational systems, templates, and workflows.
- Support the CEO with structured, real-time intelligence for effective leadership operations.
- Ensure project management systems are up-to-date and accurately reflect organizational priorities.
- Promote proactive problem-solving and resource allocation to mitigate risks and optimize outcomes.
Key Responsibilities & Duties
- Manage ClickUp as the primary tool for tracking and organizing leadership initiatives.
- Identify and address resource gaps, timeline risks, and competing priorities proactively.
- Facilitate weekly operating rhythms to provide leadership with clear progress updates.
- Configure and maintain AI tools to support the CEO's decision-making processes.
- Capture decisions and next steps from leadership meetings and ensure proper follow-through.
- Act as a liaison between teams to ensure alignment and accountability.
- Develop and implement improved templates, workflows, and operational practices.
- Communicate effectively through written summaries, updates, and flags to keep stakeholders informed.
Job Requirements
- Bachelor of Science (BS) degree in a relevant field.
- Minimum 6 years of experience in operations, PMO, or a Chief of Staff role.
- Proficiency in AI tools like ClickUp AI, Notion AI, and custom LLMs.
- Comfortable with Claude Code and its applications in operational contexts.
- Strong organizational skills with a proactive approach to problem-solving.
- Ability to push back on leadership when necessary to ensure clarity and accountability.
- Excellent written communication skills for creating summaries, updates, and reports.
- Experience in remote work environments and managing distributed teams.
