Job Description

Overview

  • Provide high-level administrative support to the CEO, ensuring seamless daily operations and strategic focus.
  • Coordinate schedules, meetings, and travel arrangements in a fast-paced environment.
  • Prepare agendas, materials, and follow-ups for executive and board meetings.
  • Oversee office assistant and manage administrative tasks with professionalism.
  • Maintain records and information in compliance with confidentiality standards.
  • Support both professional and personal domains to enhance CEO effectiveness.
  • Adapt to additional assignments, ensuring timely and quality outcomes.
  • Contribute to a dynamic and fast-paced organizational culture.

Key Responsibilities & Duties

  • Manage CEO’s calendar, scheduling meetings, events, and travel arrangements efficiently.
  • Prepare and distribute agendas, materials, and follow-ups for executive and board meetings.
  • Order office supplies and coordinate logistics for meetings and events.
  • Oversee administrative staff, providing guidance and ensuring task completion.
  • Maintain records and documentation, ensuring accessibility and compliance.
  • Support CEO’s correspondence, presentations, and communication needs.
  • Identify and resolve scheduling conflicts proactively, presenting viable solutions.
  • Assist in implementing operational processes to enhance efficiency.

Job Requirements

  • Associate’s degree or equivalent experience in a related field.
  • Minimum of 5 years of experience as an executive assistant or similar role.
  • Preferred 8 years of experience in administrative support for senior leadership.
  • Proficiency in Microsoft Office Suite and project tracking software.
  • Exceptional organizational, time management, and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience overseeing direct reports is advantageous.
  • High level of discretion and professionalism in handling sensitive information.
