Job Description
Overview
- Support procurement processes for goods, equipment, and services, ensuring compliance with applicable laws and guidelines.
- Assist in drafting and reviewing contracts, agreements, and purchase orders for university-related needs.
- Provide administrative support for contractual and bidding transactions, including document retention and supplier communication.
- Analyze supplier and market data to develop sourcing strategies and improve purchasing efficiency.
- Collaborate with Contract Officers to manage RFx/bid events and ensure timely reporting of cost savings.
- Ensure compliance with Federal, State, and University procurement regulations and guidelines.
- Utilize procure-to-pay systems to manage contracts and procurement documentation effectively.
Key Responsibilities & Duties
- Assist in the development and drafting of complex contracts and agreements for university-related goods and services.
- Support RFx/bid events, including RFPs, IFBs, and RFQs, adhering to purchasing laws and guidelines.
- Provide administrative support for procurement transactions, including document collection and retention.
- Analyze supplier data to identify cost-saving initiatives and improve purchasing strategies.
- Draft supplier communication and assist in maintaining accurate procurement documentation.
- Ensure compliance with procurement regulations and guidelines across all transactions.
- Collaborate with Contract Officers to achieve annual cost-saving objectives.
Job Requirements
- Bachelor's degree in a related field is required.
- Minimum of 1 year of professional procurement support experience; 3 years preferred.
- Proficiency in Microsoft Office or Google Workspace is essential.
- Experience with procure-to-pay systems like Jaggaer is preferred.
- Certified purchasing or supply chain management credentials are advantageous.
- Familiarity with public bids for construction and facilities services is preferred.
- Experience in higher education or New York State agency procurement is a plus.
