Job Description

Overview

  • Provide critical administrative support to executives in a fast-paced, dynamic environment.
  • Coordinate calendars, meetings, and travel arrangements with precision and efficiency.
  • Manage expense reports and ensure accurate reconciliation using Concur.
  • Facilitate communication between executives and internal/external stakeholders.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Adapt to changing priorities and deadlines in a professional manner.
  • Support ad hoc tasks and special projects as required.
  • Collaborate effectively with team members to ensure seamless operations.

Key Responsibilities & Duties

  • Provide comprehensive administrative support to Vice Presidents and Associates.
  • Coordinate complex calendars and resolve scheduling conflicts proactively.
  • Arrange domestic and international travel itineraries with attention to detail.
  • Process and reconcile expense reports accurately using Concur.
  • Answer and manage incoming calls and inquiries professionally.
  • Build and maintain positive relationships with internal and external stakeholders.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Support special projects and ad hoc tasks as assigned.

Job Requirements

  • Associate’s or Bachelor’s degree preferred.
  • Minimum of 5 years of administrative experience, preferably in financial services.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Concur.
  • Strong organizational, time-management, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to thrive in a fast-paced, high-pressure environment.
  • Professional demeanor and flexibility in response to changing priorities.
