Overview

  • Provide essential administrative support in a dynamic tax administration environment, ensuring smooth operations and client satisfaction.
  • Act as the first point of contact for clients, delivering professional and courteous service.
  • Assist with document management, filing, and organizational tasks to maintain operational efficiency.
  • Handle reception duties, including managing phone calls and client check-ins professionally.
  • Support tax administration processes through accurate data entry and workflow tracking.
  • Collaborate with the tax team to ensure seamless operations during peak periods.
  • Maintain confidentiality and professionalism in all client interactions and document handling.

Key Responsibilities & Duties

  • Manage front desk operations, including greeting clients and addressing inquiries with professionalism.
  • Answer and direct phone calls appropriately, ensuring excellent communication standards.
  • Receive, log, and organize client tax documents securely and efficiently.
  • Assist with accurate data entry tasks and track tax return workflows effectively.
  • Maintain organized client files and document management systems for operational efficiency.
  • Support e-filing processes, ensuring submission confirmations are tracked and documented.
  • Handle outgoing correspondence and coordinate document pickup/drop-off logistics.
  • Ensure strict confidentiality and security of sensitive client information at all times.

Job Requirements

  • Bachelor of Science (BS) degree is required for this position.
  • Minimum of 5 years of experience in administrative or receptionist roles.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Strong organizational and time management skills to handle multiple tasks effectively.
  • Excellent communication and customer service abilities are essential.
  • Experience with tax software or document management systems is preferred.
