Job Description

Overview

  • Provide high-level executive support to the CEO, ensuring seamless daily operations and strategic alignment.
  • Manage complex schedules, coordinate meetings, and oversee administrative functions with precision and discretion.
  • Facilitate communication between the CEO and internal teams, fostering collaboration and efficiency.
  • Prepare detailed reports, presentations, and correspondence to support executive decision-making.
  • Coordinate travel arrangements, including itineraries and accommodations, ensuring smooth logistics.
  • Handle confidential information with utmost discretion and professionalism.
  • Assist in project management, tracking progress and ensuring timely completion of deliverables.
  • Support the CEO during after-hours or weekends as required, maintaining operational continuity.

Key Responsibilities & Duties

  • Prioritize and manage the CEO’s calendar, resolving conflicts and optimizing scheduling.
  • Coordinate high-level meetings, preparing agendas and ensuring effective follow-up actions.
  • Act as the primary liaison for internal and external communications on behalf of the CEO.
  • Prepare and review executive-level documents, ensuring accuracy and relevance.
  • Organize travel logistics, including flights, accommodations, and detailed itineraries.
  • Monitor and manage project timelines, ensuring alignment with organizational goals.
  • Maintain comprehensive records and documentation for streamlined access and retrieval.
  • Provide flexible support during non-standard hours to meet critical business needs.

Job Requirements

  • Bachelor’s degree in a relevant field is required; advanced degrees are advantageous.
  • Minimum of 8 years of experience as an Executive Assistant, with preference for 15 years supporting senior executives.
  • Exceptional organizational and multitasking skills with a proven ability to manage complex schedules.
  • Outstanding communication skills, both verbal and written, with a professional demeanor.
  • Proficiency in office software and tools, including advanced calendar management systems.
  • Demonstrated ability to handle sensitive information with discretion and confidentiality.
  • Flexibility to work extended hours and weekends as necessary to support executive needs.
