Job Description

Overview

  • Coordinate shipments in the metals and minerals industry, ensuring compliance with customer requirements and international trade regulations.
  • Prepare invoices, shipping documents, and purchase orders while managing delivery schedules and customer updates.
  • Expedite shipment and delivery processes, ensuring smooth import/export operations and compliance documentation.
  • Resolve customer issues related to product fulfillment and billing, supporting the sales team through effective communication.
  • Monitor and maintain product inventories, preparing monthly reports on sales, purchases, and inventory.
  • Manage accounts receivable and payable, ensuring accurate financial tracking and reporting.
  • Collaborate within a multicultural business environment, leveraging communication skills to enhance operations.
  • Contribute to operational support and special projects, enhancing organizational efficiency and effectiveness.

Key Responsibilities & Duties

  • Coordinate shipments and prepare necessary documentation to meet customer and regulatory requirements.
  • Generate purchase orders, track deliveries, and communicate updates to customers effectively.
  • Ensure compliance with import/export regulations, including verifying import duty rates and maintaining documentation.
  • Resolve customer inquiries regarding fulfillment and billing, supporting the sales team with internal communication.
  • Manage accounts receivable and payable, ensuring accurate and timely financial processes.
  • Prepare monthly reports on sales, purchases, and inventory, providing insights for operational decisions.
  • Monitor product inventories, ensuring optimal stock levels and availability.
  • Participate in special projects and provide operational support to enhance organizational performance.

Job Requirements

  • Bachelor’s degree in a business-related field or equivalent experience required.
  • Three to five years of experience in accounting or import/export business preferred.
  • Proficiency in Microsoft Excel and Word essential for documentation and reporting.
  • Strong written and verbal communication skills to operate in a multicultural environment.
  • Experience with industrial products and bilingual Japanese skills are advantageous.
  • Ability to work on-site during standard business hours, Monday through Friday.
  • Detail-oriented with strong organizational skills to manage multiple tasks effectively.
  • Knowledge of import/export compliance and documentation processes preferred.
