Job Description

Overview

  • Support the accounting department by performing administrative and basic accounting tasks in a paper-oriented environment.
  • Handle accounts payable duties, including entering invoices and managing vendor communications.
  • Assist with document preparation, editing, and organization using Word and Excel.
  • Perform tasks such as filing, scanning, and creating FedEx labels to support operational needs.
  • Pull and organize expense and vendor-related documents for audits.
  • Collaborate with financial and operational leadership on basic PowerPoint and Excel projects.
  • Work onsite Monday through Friday, 9:30 AM to 5:30 PM.
  • Opportunity to learn and use SAGE Timberline software for invoice entry.

Key Responsibilities & Duties

  • Enter vendor invoices into accounting software and ensure accuracy.
  • Communicate effectively with vendors via phone and email to resolve inquiries.
  • Draft and edit documents and emails to support departmental needs.
  • Perform administrative tasks such as copying, scanning, and filing documents.
  • Pull and organize documents for audits and ensure proper documentation.
  • Assist in creating presentations and spreadsheets for financial and operational leadership.
  • Support the Controller/CFO with administrative and operational tasks.
  • Learn and utilize SAGE Timberline software for accounting tasks.

Job Requirements

  • Associate of Science (AS) degree or equivalent educational background required.
  • Minimum of 3 years of experience in administrative or accounting support roles.
  • Basic knowledge of accounts payable and accounting principles preferred.
  • Proficiency in Microsoft Word and Excel for document preparation and data management.
  • Effective communication skills for vendor interactions and team collaboration.
  • Willingness to learn SAGE Timberline software for invoice entry tasks.
  • Ability to perform administrative tasks such as filing, scanning, and document organization.
  • Comfortable working onsite in a structured schedule, Monday through Friday.
