Job Description

Overview

  • Provide high-level administrative support to the investment team, ensuring seamless operations and effective communication.
  • Manage complex calendars, schedule meetings, and prioritize tasks for senior executives.
  • Coordinate travel arrangements, including detailed itineraries, for business-related purposes.
  • Prepare and submit expense reports with accuracy and timeliness.
  • Screen and manage calls, ensuring professional communication and prioritization.
  • Assist in organizing company events and activities to foster team collaboration.
  • Collaborate with other administrative staff on operational responsibilities and special projects.
  • Maintain confidentiality and handle sensitive information with discretion.

Key Responsibilities & Duties

  • Support five senior executives and additional team members with administrative tasks.
  • Act as a liaison between departments, ensuring effective communication and coordination.
  • Plan and book travel arrangements, including airfare, lodging, and car services.
  • Prepare detailed itineraries and ensure timely updates for travel schedules.
  • Organize and coordinate meetings, events, and activities for the investment team.
  • Collaborate with other administrative staff on office operations and special projects.
  • Meet and greet investors, business partners, and guests professionally.
  • Assist with miscellaneous administrative duties as required by the team.

Job Requirements

  • Bachelor’s degree preferred; minimum two years of college required.
  • Eight or more years of corporate experience in a similar role preferred.
  • Strong organizational and time management skills with attention to detail.
  • Proficiency in Microsoft Office; experience with Concur or Salesforce is a plus.
  • Excellent communication skills via email and phone.
  • Ability to work collaboratively and build effective team relationships.
  • Demonstrated ability to prioritize tasks and manage multiple responsibilities.
  • Professional demeanor and ability to maintain confidentiality.
