Job Description

Overview

  • Support the executive office with administrative tasks, including inbox management and scheduling for senior leadership.
  • Coordinate meetings, follow-ups, and office desk operations for the President and Chief of Staff.
  • Utilize Outlook and Concur or similar SAP systems for efficient task management.
  • Assist with scheduling and meeting setup for the Chief of Staff as needed.
  • Provide onsite support five days a week for full-time or daily for part-time roles.
  • Engage with stakeholders in LGBTQ+ civil advocacy and political initiatives.
  • Ensure smooth transition and training during role handover.

Key Responsibilities & Duties

  • Manage executive inboxes, ensuring timely responses and prioritization of tasks.
  • Schedule meetings, appointments, and follow-ups for senior leadership.
  • Coordinate with the Associate Director and Chief of Staff for administrative needs.
  • Utilize Outlook and SAP systems for efficient scheduling and expense management.
  • Provide onsite support, ensuring executive office operations run smoothly.
  • Assist in setting up meetings and events, ensuring all logistical needs are met.
  • Collaborate with stakeholders in LGBTQ+ advocacy and political initiatives.
  • Support transition and training for incoming personnel.

Job Requirements

  • Minimum of 3 years of experience as an Executive or Administrative Assistant.
  • Proficiency in Outlook and Concur or similar SAP systems.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Familiarity with LGBTQ+ advocacy and political initiatives is preferred.
  • Ability to work onsite five days a week for full-time roles or daily for part-time.
  • Excellent communication skills for interacting with senior leadership and stakeholders.
  • Flexibility to start immediately and adapt to dynamic office needs.
