Overview
- Support attorneys by performing confidential secretarial and administrative tasks in a fast-paced legal environment.
- Transcribe real-time dictation, correspondence, and legal documents with high accuracy and attention to detail.
- Manage and organize emails, ensuring timely delivery and proper filing using iManage software.
- Handle court e-filings, retrieve and distribute filings, and maintain legal calendars.
- Coordinate travel arrangements, internal correspondence, and reimbursements for attorneys and paralegals.
- Maintain attorneys’ legal and administrative files, ensuring confidentiality and organization.
- Assist with client billing deadlines and vendor invoice processing to ensure timely submissions.
- Collaborate with other legal assistants and attorneys to support office-wide initiatives.
Key Responsibilities & Duties
- Transcribe dictation and draft legal documents with precision and adherence to deadlines.
- Organize and manage emails, ensuring proper filing and timely responses.
- Handle court e-filings and distribute filings to appropriate attorneys.
- Schedule meetings, depositions, and maintain work calendars for attorneys.
- Assist with travel arrangements and administrative reimbursements for legal staff.
- Ensure compliance with weekly and monthly time entry and billing deadlines.
- Maintain confidential legal files and administrative records for attorneys.
- Provide support to other attorneys and legal assistants as needed.
Job Requirements
- 7-10 years of experience as a litigation legal assistant in a professional setting.
- Proficiency in MS Word, MS Outlook, Excel, and legal document preparation tools.
- Strong knowledge of legal terminology, court procedures, and e-filing systems.
- Ability to type a minimum of 70 words per minute with high accuracy.
- Experience with iManage and BigHand digital dictation software is preferred.
- Excellent proofreading skills and attention to detail in legal document preparation.
- High School Diploma or GED required; additional certifications are a plus.
- Strong organizational skills and ability to multitask in a fast-paced environment.
