Job Description

Overview

  • Support attorneys with administrative and secretarial tasks in a dynamic legal environment.
  • Prepare and manage legal documents, correspondence, and confidential memoranda.
  • Coordinate and schedule meetings, appointments, and travel arrangements for attorneys.
  • Assist with court e-filings and ensure compliance with legal procedures.
  • Handle incoming and outgoing mail, ensuring timely delivery and processing.
  • Maintain attorneys' legal and administrative files with confidentiality and accuracy.
  • Provide proofreading and editing support for legal documents and billing sheets.
  • Collaborate with other legal assistants and attorneys to ensure smooth office operations.
  • Attend client meetings to witness and manage client documents as needed.

Key Responsibilities & Duties

  • Perform secretarial and administrative duties under general supervision for attorneys.
  • Transcribe legal briefs, correspondence, and memoranda from rough drafts or oral dictation.
  • Prepare legal documents, ensuring accuracy and adherence to legal standards.
  • Manage attorneys' calendars, scheduling meetings and appointments effectively.
  • Assist with travel arrangements, reimbursements, and internal correspondence.
  • Process and proof bills, ensuring accuracy and proper formatting.
  • Handle incoming calls, messages, and mail for attorneys and staff.
  • Maintain and organize confidential legal and administrative files.
  • Collaborate with team members to support office operations and client services.

Job Requirements

  • High School Diploma or GED required; additional certifications in legal assistance preferred.
  • Minimum 3 years of legal assistance experience, with a preference for 5 years.
  • Proficiency in MS Word, Outlook, Excel, and digital dictation tools like BigHand.
  • Strong knowledge of legal terminology, document preparation, and court procedures.
  • Ability to type at least 70 words per minute with accuracy.
  • Excellent proofreading skills and attention to detail in legal documentation.
  • Effective oral and written communication skills for client and team interactions.
  • Ability to multitask and stay organized in a fast-paced environment.
  • Team-oriented mindset with proactive collaboration and problem-solving abilities.
