Job Description

Overview

  • Support senior executives in a global private equity firm for a 6-month temporary role.
  • Manage sensitive and confidential information with discretion and professionalism.
  • Coordinate complex calendars and schedules to ensure seamless executive operations.
  • Draft, proofread, and finalize correspondence and documents with exceptional accuracy.
  • Organize logistics for domestic and international travel, including detailed itineraries.
  • Collaborate with internal and external stakeholders, reflecting the firm’s values.
  • Provide proactive support by anticipating executive needs and resolving challenges.
  • Maintain organizational systems to enhance team productivity and efficiency.

Key Responsibilities & Duties

  • Manage executive calendars, scheduling meetings, and coordinating events with precision.
  • Handle incoming communications, prioritize tasks, and draft responses independently.
  • Prepare expense reports accurately and submit them in compliance with firm policies.
  • Coordinate travel arrangements, including accommodations and transportation logistics.
  • Maintain filing systems, trackers, and contact databases for team efficiency.
  • Liaise professionally with portfolio organizations, investors, and external contacts.
  • Support team members by taking on additional tasks and fostering collaboration.
  • Ensure confidentiality and discretion in all interactions and communications.

Job Requirements

  • Bachelor of Arts (BA) degree with eight years of executive assistant experience.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong written, verbal, and editing skills for effective communication.
  • Experience in the financial industry is highly desirable.
  • Exceptional organizational and time management skills with attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Proactive problem-solving skills and ability to anticipate executive needs.
