Job Description

Overview

  • Provide comprehensive administrative support to ensure smooth office operations and maintain a professional environment.
  • Greet clients and visitors, ensuring a welcoming and professional front desk experience.
  • Manage incoming and outgoing mail, packages, and courier services efficiently.
  • Maintain inventory and coordinate ordering of office, janitorial, and kitchen supplies.
  • Perform basic maintenance of office equipment and coordinate third-party services as needed.
  • Prepare and maintain conference rooms for meetings and events.
  • Organize and archive client files in compliance with firm standards.
  • Assist with employee parking arrangements and ID badge procurement.
  • Collaborate with executive assistants to support meetings and client needs.

Key Responsibilities & Duties

  • Greet and assist clients and visitors at the front desk professionally.
  • Process incoming and outgoing mail, packages, and courier services.
  • Maintain office supply inventory and coordinate orders and distribution.
  • Perform light maintenance tasks and coordinate equipment servicing.
  • Prepare conference rooms and assist with meeting arrangements.
  • Organize and archive client files, ensuring compliance with standards.
  • Scan and distribute paper documents and manage digital archives.
  • Assist with employee parking arrangements and ID badge procurement.
  • Perform general upkeep of office and café areas.

Job Requirements

  • High School Diploma or GED equivalent is required.
  • Minimum of 1 year experience in office services or facilities management.
  • Proficiency in Microsoft Office Suite is essential.
  • Strong verbal and written communication skills are required.
  • Ability to multitask and work independently or in a team environment.
