Overview
- Provide high-level administrative support to two partners in a busy Employee Benefits practice group.
- Assist with managing client matters, practice management, and day-to-day administrative operations.
- Handle confidential information with discretion and professionalism in a fast-paced legal environment.
- Prepare, revise, and proofread legal documents, correspondence, and presentations.
- Coordinate document management, filing, and record retention activities.
- Support attorneys with employee benefit plan documents and related correspondence.
- Monitor deadlines and assist with tracking client deliverables and project timelines.
- Utilize advanced proficiency in Microsoft Office Suite and legal-specific software tools.
Key Responsibilities & Duties
- Manage complex calendars, schedule meetings, and coordinate client appointments.
- Process time entries, expense reports, and billing-related tasks in compliance with firm procedures.
- Prepare engagement letters, memoranda, reports, and other practice-related documents.
- Assist with preparation and organization of materials for client meetings and presentations.
- Maintain electronic and physical client files in compliance with firm policies.
- Coordinate execution of documents and obtain necessary approvals and signatures.
- Support attorneys with ERISA, retirement plan, executive compensation, and health and welfare plan matters.
- Organize and maintain benefit plan files and related documentation.
Job Requirements
- Bachelor of Arts (BA) degree or equivalent experience preferred.
- 3–5 years of administrative experience, preferably in a law firm or professional services environment.
- Experience supporting attorneys or senior-level professionals preferred.
- Familiarity with employee benefits, ERISA, retirement plans, or related legal practice areas is a plus.
- Advanced proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Strong organizational, time-management, and communication skills.
- Ability to manage multiple priorities and meet deadlines with minimal supervision.
- High level of professionalism, discretion, and confidentiality.
