Job Description

Overview

  • Support front desk operations, including visitor management and coordination of office events, ensuring a polished and customer-centric environment.
  • Provide hands-on assistance with meeting setups, resource reservations, and building access management.
  • Respond to user requests via email and ticket systems, ensuring timely and effective communication.
  • Assist with administrative tasks, including correspondence, expense management, and onboarding support.
  • Contribute creatively to office newsletters and promotional materials for events.
  • Participate in event committee meetings and support office operations as needed.
  • Maintain professionalism and adaptability in a dynamic, deadline-driven environment.

Key Responsibilities & Duties

  • Provide front desk coverage, including call routing and visitor experience management.
  • Manage conference room and workspace reservations, ensuring readiness and availability.
  • Handle building and suite access management tasks efficiently.
  • Coordinate meeting and event support, collaborating with stakeholders and admin leaders.
  • Assist with administrative duties, including correspondence and expense support.
  • Create and manage office newsletters and event promotional materials.
  • Support onboarding processes for new hires and other office operations.
  • Exhibit professionalism and adaptability in client interactions and multitasking scenarios.

Job Requirements

  • High school diploma or GED required; additional certifications in office management preferred.
  • Minimum one year of experience in front desk operations or similar roles.
  • Proficiency in Microsoft Office Suite; knowledge of SharePoint and Canva is advantageous.
  • Strong verbal and written communication skills, with adaptability to diverse audiences.
  • Ability to multitask effectively in a deadline-driven environment while maintaining attention to detail.
