Job Description

Executive Assistant Overview

  • As an Executive Assistant, you will provide high-level administrative support to senior executives, ensuring efficient operations and seamless coordination of activities.
  • Manage complex travel arrangements, including itineraries, bookings, and accommodations for executive team members.
  • Coordinate and organize meetings, including scheduling, agenda preparation, and logistics management.
  • Prepare professional PowerPoint presentations and other materials to support executive communications and decision-making.
  • Oversee event planning and coordination for executive functions and company-wide initiatives.
  • Maintain and update executive calendars, ensuring optimal time management and prioritization.
  • Utilize strong MS Office skills to create, edit, and manage documents, spreadsheets, and presentations.
  • Act as a liaison between executives and internal/external stakeholders, ensuring clear communication and follow-up.

Executive Assistant Key Responsibilities & Duties

  • Provide comprehensive administrative support to senior executives, ensuring smooth daily operations.
  • Coordinate travel arrangements, including flights, accommodations, and ground transportation.
  • Organize and manage executive schedules, including prioritizing appointments and meetings.
  • Prepare and edit presentations, reports, and correspondence for executive use.
  • Plan and execute corporate events, ensuring all logistics are handled efficiently.
  • Maintain confidentiality and handle sensitive information with professionalism.
  • Collaborate with internal teams to ensure alignment on executive priorities and projects.

Executive Assistant Job Requirements

  • High School Diploma or GED required; additional certifications in administration preferred.
  • Minimum of 3 years of experience as an Executive Assistant; 6 years preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent verbal and written communication skills, with attention to detail.
  • Experience in event planning and coordination is highly desirable.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Flexibility to work on-site and adapt to dynamic executive needs.
