Administrative Assistant Overview

  • The Administrative Assistant will provide essential administrative and legal support to attorneys in a dynamic law firm environment.
  • Assist attorneys specializing in litigation, residential, and commercial real estate practices, ensuring seamless workflow and client satisfaction.
  • Prepare legal documents, file pleadings, and manage discovery projects with precision and attention to detail.
  • Coordinate with clients, title companies, and lenders to facilitate transactions and maintain professional relationships.
  • Perform clerical tasks such as filing, photocopying, scanning, and maintaining office supplies inventory.
  • Support attorneys with time entry and docket management to ensure accurate record-keeping.
  • Contribute to the preparation of closing binders, recording packages, and disclosure statements.
  • Work in a hybrid arrangement, balancing on-site and remote responsibilities effectively.
  • Collaborate with a supportive team in a mid-sized law firm with diverse practice areas.

Administrative Assistant Key Responsibilities & Duties

  • Prepare and file simple and pro forma pleadings with accuracy and compliance.
  • Manage docket schedules and assist attorneys with discovery projects.
  • Assemble closing binders and recording packages for real estate transactions.
  • Prepare sale/transfer documents and closing disclosure statements for legal proceedings.
  • Perform data entry tasks to update and maintain legal databases and records.
  • Provide administrative support, including filing, photocopying, and scanning documents.
  • Answer phone calls professionally, take messages, and ensure effective communication.
  • Maintain office supplies inventory and order necessary items promptly.
  • Assist attorneys with time entry and other clerical tasks to ensure operational efficiency.

Administrative Assistant Job Requirements

  • Associate degree in a relevant field or equivalent experience is required.
  • Minimum of 1 year of experience in administrative roles; 2 years preferred.
  • Knowledge of administrative procedures and document management systems is essential.
  • Strong attention to detail and ability to prioritize multiple tasks effectively.
  • Familiarity with legal processes, including pleadings and discovery projects.
